POSITION OVERVIEW

The Assistant Transportation Manager supports the daily operations of the Transportation Department, ensuring efficient service delivery and exceptional guest experiences. This role works closely with the Transportation Manager to coordinate driver teams, manage logistical needs, and provide strong administrative and operational support. The ideal candidate excels in organization, communication, and service execution within a luxury, high volume hospitality environment.


ESSENTIAL DUTIES AND RESPONSIBILITIES

The following and other duties may be assigned as necessary:

  • Assist in overseeing daily transportation operations, ensuring timely and efficient guest pick-ups, drop-offs, shuttle routes, and VIP movements
  • Support the supervision of Chauffeurs by providing guidance, daily direction, and reinforcement of service standards
  • Monitor fleet readiness, ensuring vehicles are clean, safe, and operational; coordinate routine maintenance and inspections
  • Assist in coordinating logistics for special events, groups, and VIP guests requiring tailored transportation solutions
  • Communicate operational updates to relevant departments such as Concierge, Guest Services, Events, Front Desk, and Security to ensure cohesive service delivery
  • Assist with creating schedules, maintaining attendance records, and updating staffing assignments in alignment with operational needs
  • Prepare and maintain departmental reports, logs, and operational documentation
  • Support budget tracking activities by monitoring receipts, invoices, and vendor-related documentation
  • Help manage transportation-related systems, reservations, and scheduling software.
  • Assist with coordinating departmental meetings, training sessions, and internal communications
  • Monitor guest feedback and escalate service-related concerns to ensure prompt resolution and continuous improvement
  • Ensure Chauffeurs consistently uphold grooming, uniform, and service standards
  • Support the implementation of service audits, ride along reviews, and performance quality checks
  • Ensure all department operations follow safety regulations, vehicle operating requirements, and company policies
  • Assist with maintaining accurate records for driver certifications, Motor Vehicle Reports, and required permits
  • Support accident reporting procedures and follow-up documentation
  • Maintain confidentiality of sensitive guest and company information
  • Perform other duties as assigned by leadership
  • Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary.


QUALIFICATION REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or equivalent required
  • Minimum two (2) years of experience in transportation, hospitality operations, or related field; luxury resort experience preferred
  • Working knowledge of transportation logistics, scheduling, and daily operational coordination
  • Strong administrative abilities: documentation, reporting, scheduling, and system management
  • Ability to maintain a valid driver’s license and meet company driving standards
  • Strong interpersonal and communication skills with an emphasis on guest service excellence
  • Ability to remain calm and effective in a fast paced, high pressure environment
  • Proficiency in Microsoft Office and transportation scheduling software
  • Ability to collaborate with cross functional departments and support multiple operational priorities simultaneously
  • Provide a current Nevada Motor Vehicle Report every 6 months
  • Maintain a clean DMV record
  • Ability to maintain the confidentiality of sensitive guest and company information
  • Must be willing and able to work a flexible schedule to include nights, holidays, and weekends
  • Work in a fast-paced, busy, and somewhat stressful environment


SUPERVISORY RESPONSIBILITIES

This position assists the Transportation Manager in supporting Chauffeurs and other line-level transportation team members.

CERTIFICATES, LICENSES, REGISTRATIONS

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.


REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
