POSITION OVERVIEW
As the Rooms Coordinator, you will play a crucial role in managing and overseeing all aspects related to the rooms and spaces within our organization. Your primary responsibility will be to ensure the efficient and smooth functioning of rooms for various purposes, contributing to a positive and productive environment for our team, clients, and guests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following and other duties may be assigned as necessary:
- Manage the scheduling and reservation of rooms for meetings, events, workshops, and other activities, ensuring optimal utilization of available spaces
- Act as the main point of contact for room-related inquiries, both internal and external, providing timely and accurate information regarding availability, amenities, and booking procedures
- Collaborate closely with various departments and teams to understand their room needs and preferences, proactively coordinating to meet their requirements
- Coordinate the setup and arrangement of rooms according to specific requirements, including audiovisual equipment, seating arrangements, catering, and other amenities
- Track and manage room resources such as equipment, furniture, and supplies, ensuring they are well-maintained and available when needed
- Quickly address and resolve any scheduling conflicts, technical issues, or unexpected situations that may arise regarding room bookings or setups
- Maintain accurate records of room reservations, usage, and feedback to facilitate reporting and analysis for continuous improvement
- Regularly inspect rooms to ensure they are clean, well-maintained, and equipped with necessary supplies for a comfortable experience
- Provide exceptional customer service to internal and external stakeholders, ensuring their room-related needs are met effectively and professionally
- Assist in training employees and new hires on room reservation procedures, equipment usage, and room setup guidelines
- Collaborate with the finance department to monitor and manage budgets related to room amenities, maintenance, and improvements
- Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary
QUALIFICATION REQUIREMENTS

- High school diploma or equivalent required
- Proven experience in a customer-facing role within the hotel, luxury retail, or high-end service industry
- Excellent communication and interpersonal skills, with a polished and gracious demeanor
- Strong organizational and multitasking abilities to attend to guest needs and coordinate various tasks effectively
- Customer-centric mindset with a passion for delivering exceptional guest experiences.
- Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of local attractions, events, and cultural offerings to provide informed recommendations to guests
- Attention to detail to anticipate and fulfill guest needs and preferences
- Flexibility to work irregular hours, including evenings, weekends, and holidays, as required by hotel operations
- Must be willing and able to work a flexible schedule to include nights, holidays, and weekends
- Work in a fast-paced, busy, and somewhat stressful environment
SUPERVISORY RESPONSIBILITIES
This position does not have supervisory responsibilities.

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.
LANGUAGE SKILLS
Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
REASONING ABILITY
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

SALARY
